Create A Vision ("we," "us," or "our") provides digital design, marketing, IT services, cloud infrastructure, and AI services to businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have — both when you visit our website and when you use the services we provide. Because our services now span web design, IT infrastructure, physical security systems, hosting, and AI-powered tools, this policy is organized by the type of data involved rather than treating everything the same way.
1 Information We Collect

Information collected automatically: IP address, browser type, pages visited, and referring site, collected via cookies and similar tracking technologies (see Section 4).
Information collected while delivering IT services: when we provide networking, access control, security camera, or computer repair services, we may access network configurations, device diagnostics, access logs, and — where physical security systems are involved — video footage and door-access event logs, strictly as necessary to install, configure, or troubleshoot the systems in question.
Information processed through hosting and cloud services: when we provide managed hosting, cloud migration, or email hosting, your website's data, email content, and any data your own customers submit through your site or email (e.g. through a contact form or online store) may pass through or be stored on infrastructure we manage on your behalf.
Information processed through POS system setup: we configure point-of-sale hardware and software but do not ourselves store payment card data — card transactions are processed directly by your chosen payment processor under that processor's own compliance framework (typically PCI-DSS). Our role is limited to setup, network configuration, and integration.
Information processed through AI services: where we build or configure AI-powered tools (chatbots, voice agents, automation) for you, inputs and outputs processed by those tools may be sent to third-party AI providers (see Section 5) as part of the tool's normal operation.
2 How We Use Information
We use the information we collect to provide and improve our services, respond to inquiries, deliver support, send service-related communications, and — with your consent — marketing communications about our services. We do not sell personal information to third parties, and we do not use data collected while delivering IT, hosting, or AI services for any purpose beyond delivering and supporting those services, except as required by law.
3 Our Role: Controller vs. Processor
For most of the data described above, we act as a data processor on your behalf, not as the owner of that data. If we host your website, manage your email, or configure your access control system, the data flowing through those systems (including your own customers' data) remains yours — we handle it only to provide the contracted service, and according to your instructions.
Where we collect information about you directly (e.g. through our own contact form), we act as a data controller for that specific information.

6 Security Camera & Access Control Data
Where we install or manage security cameras or access control systems on your premises, video footage and access logs are stored on systems you own or control (typically on-site storage or a cloud video platform you subscribe to directly). We do not retain copies of this footage beyond what's needed for installation, configuration, or troubleshooting support, and access to these systems is limited to authorized personnel for legitimate support purposes.
7 Data Retention
We retain personal information for as long as necessary to provide our services and fulfill the purposes described in this policy, and as required by applicable law. Data processed on your behalf as part of hosting, email, or IT services is retained according to your instructions and any service agreement in place.
8 Data Security
We use commercially reasonable technical and organizational measures to protect information in our care, including firewall configuration, access controls, and encryption where appropriate. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9 Your Rights
Depending on your location, you may have rights to access, correct, or delete personal information we hold about you, and to opt out of certain marketing communications. To exercise these rights, contact us using the information below.
10 Children's Privacy
Our services are directed at businesses and are not intended for individuals under 18. We do not knowingly collect personal information from children.
